UNDERGRADUATE FINANCIAL AID
There are many different sources of financial aid available at the University of Valley Forge, including grants, loans and scholarships. We feel that students should receive a quality education and UVF is committed to helping you ease the financial burden of obtaining your degree. Our efforts are directed at minimizing costs without sacrificing personal services or academic programming. In fact, our costs are lower than most four-year private colleges.
Be certain not to wait until the last minute. Often there are several forms to complete in order to qualify for grants and loans from the federal or state governments. The earlier you submit this paperwork, the greater your chances are of receiving all the financial aid available.
One of the best ways to fund your college education may include the money you earn while attending college. The University of Valley Forge provides over 100 on-campus jobs to help students pay for college and develop skills and experience. The Office of Career Services networks with local business and employers and can help you find a good job that meets your needs and schedule.
Financial assistance is available on the basis of the student’s estimated financial need. Federal and state governments include specific guidelines for calculating an individual’s eligibility for need-based aid. To find out if you are eligible to receive aid, you must complete the Free Application for Federal Student Aid (FAFSA).
Aid assistance is determined for a one year period only, but recipients can generally expect their financial gift to continue as long as their academic records are satisfactory and comparable need is demonstrated. The exact amount of need is determined each year on the basis of confidential income information submitted by the student and their parents.
CERTIFICATION REQUIREMENTS
The Department of Education selects, at random, various students who fill out the Free Application for Federal Student Aid (FAFSA) for review in a process called “verification.” In this process, University of Valley Forge will be comparing information from your application with your federal tax transcript your parents’ (or spouses’) tax transcript, W-2 forms or other financial documents. If there are differences between your application information and your financial documents, you may need to send in corrections on your Student Aid Report (SAR) or UVF may send corrections electronically to have your information reprocessed. You may be asked for supplemental documentation from the Financial Services Office even if you were not selected by the Department of Education for verification. This is done at the discretion of the Financial Services Office based on the review of a student’s file and the determination that additional information is warranted. You will have 30 days to complete the verification process. All documents received after that time may delay the processing of financial aid.
APPLYING FOR FINANCIAL AID
Following is the procedure to apply for UVF financial assistance:
- Apply for admission to UVF. Applications are available on UVF’s website or upon request from the Admissions Office.
- Complete the Free Application for Federal Student Aid (FAFSA) online at fafsa.gov. Make sure to list UVF’s school code (003306) on the last section of the FAFSA.
- Most scholarships require a specific application. These forms are available on UVF’s website or may be requested from the Financial Services Office. Individual scholarships may have application deadlines, which will be included on the applications.
- Approximately three weeks after sending in your FAFSA, you will receive a Student Aid Report (SAR). UVF will receive your FAFSA results electronically about the same time you receive the SAR. The Financial Services Office will review your information and contact you if additional documentation/information is needed.
- When all required financial data has been received, the Financial Services Office will evaluate your information and send you a Financial Aid Letter estimating amounts and types of aid for which you are eligible.
- If you are eligible for loans or college work- study, you will need to complete additional paperwork to apply for these types of aid.
WHEN SHOULD YOU APPLY?
Apply for financial aid as early as possible prior to the academic term for which you are requesting assistance. Students are encouraged to file the Free Application for Federal Student Aid (FAFSA). For students entering college in the fall, the FAFSA may be completed any time after October 1 of the prior year. To apply online, go to fafsa.gov.
To meet the Pennsylvania State Grant deadline, the FAFSA must be submitted in time to be received by May 1. Check the FAFSA for your particular state deadline.
All financial aid information should be completed (including loan applications and any corrections needed by the student and/ or the parents) and on file with the Financial Services Office 30 days prior to the beginning of the semester.
SCHOLARSHIPS
UVF is pleased to offer numerous scholarships to our students. Please keep the following requirements in mind:
- Scholarships will be awarded to first time entering freshmen and transfer students based on eligibility.
- The combination of institutional scholarships cannot exceed the student’s tuition during the semester.
- Students must be enrolled for and maintain full-time (12 credits) status for the entire semester.
- All scholarships are renewable with a 2.0 GPA unless otherwise noted.
- Application deadline for all scholarships is August 1st for Fall entrants and December 1st for Spring entrants.
- Scholarships are not available for online programs.
- Institutional scholarships are available for Fall and Spring semesters only.
UVF SCHOLARSHIP

The UVF Scholarship is awarded to all students. The amount is determined by the student’s financial eligibility, academic achievement, and resident status.

DUAL ENROLLMENT SCHOLARSHIP

Award amount is $500 per year – up to 4 years
This scholarship is for new students who have earned at least 12 credits at UVF during their junior and/or senior years of high school.

MUSIC SCHOLARSHIPS

- Award amounts range up to $3,000 per year.
- New or transfer students may apply by audition at Breakaway or by appointment. Returning students may audition at announced times during the academic year.
- Participation in assigned ensembles will be required. (Music lessons also required for returning students. )
For information about the Virtuoso full tuition scholarship for new or transfer students, contact the Music Department at 610.917.3954. The deadline to apply is the end of the second week of October. Students who are receiving the Virtuoso Scholarship may be assigned to participate with UVF Worship or other UVF ministry teams.
These teams have summer responsibilities of 8 – 10 weeks. Assignment to these teams will not generally be more than two years. Since the Virtuoso student is receiving a full- tuition scholarship, no further scholarship is awarded for participation with these groups. This scholarship is renewable with a 2.5 cumulative GPA.

The Office of Career Services networks with local businesses and employers who hire our students, and we host a Job Fair during the first week of classes which attracts dozens of employers. There are also listings of local employment opportunities with contact information provided through Career Services.

The document provided by the Department of Education to determine your family’s aid eligibility is the Free Application for Federal Student Aid (FAFSA). The Department utilizes a standard formula which takes into consideration family income, number of dependents, assets, and the number of other family members in college.
This formula remains the same, no matter what the cost of the college. Once the expected family contribution (EFC) is calculated, eligibility for the following funds can be determined.
Most families use savings, income or loans in order to meet their college costs.
FEDERAL PELL GRANT

FEDERAL COLLEGE WORK-STUDY
STUDENTS WITH FINANCIAL NEED ARE ELIGIBLE TO APPLY.
- Students who qualify for work-study are encouraged to apply for an on-campus job under the On-Campus Jobs Program.
- If gifted, Federal Work Study (FWS) will appear on the financial aid award letter, but is not directly credited to the student’s bill.
- Students receive a paycheck or direct deposit of funds for hours worked.
- Students work on campus in a variety of jobs usually 10 – 15 hours per week.
FEDERAL DIRECT SUBSIDIZED LOAN
LOW INTEREST FEDERAL LOAN FOR QUALIFIED STUDENTS.
- Repayment (principal and interest) begins six months after a student graduates, withdraws, or drops below half-time status.
- Fixed interest rate for the life of the loan is determined by the first disbursement date of the loan.
- Loan must be repaid within 10 years at payments of no less than $50 per month. Other payment options are available.
- Loan amounts are up to $3,500 for 0 – 23.5 earned credits, $4,500 for 24 – 47.5 earned credits, and $5,500 for 48+ earned credits.
FEDERAL DIRECT UNSUBSIDIZED LOAN

- Dependent students whose parents have been denied a PLUS loan (credit reviewed annually) qualify for an additional unsubsidized loan of $4,000 if they have 0 – 47.5 earned credits and $5,000 if they have 48+ earned credits. This is in addition to the $2,000 unsubsidized loan awarded to all students.

FINANCING OPTIONS
MONTHLY PAYMENT PLAN
The university provides no-interest financing to help students manage the cost of education. This is a budgeting service that allows the student to pay semester education costs through monthly installments.
- Monthly payments begin in advance of the college year based on a student’s estimated costs for two semesters (July for Fall and January for Spring).
- Monthly Payment Plans are not offered for summer courses. All Summer course balances require payment in full by April 15th.
- The payment plan for fall runs from July to December. Spring payment plans are January through June.
- There are no interest or finance charges to non-delinquent participants.
PRIVATE LOANS
Private loans help supplement the student’s cost of attendance.

OTHER RESOURCES
Veteran benefits and Occupational Vocational Rehabilitation are available to qualified students. Contact the local office of the appropriate agency to investigate these resources. There are also a number of scholarship programs available through community organizations and corporations. Check on the availability of such aid through your guidance counselor, church, parents’ employers, and through the internet.
SATISFACTORY ACADEMIC PROGRESS (SAP) POLICY
Federal regulations require that an institution establish, publish, and apply reasonable standards for measuring whether a student, who is otherwise eligible for aid, is maintaining satisfactory academic progress in his or her course of study.
Listed below is the complete statement of Minimum Standards for Satisfactory Academic Progress for Financial Aid Recipients.
The purpose of this policy is to provide undergraduate and graduate students with information on University of Valley Forge’s Satisfactory Academic Progress standards that are used to determine a student’s continued eligibility for federal financial aid. The University of Valley Forge will make the following standards applicable to all federal funds awarded to students.
This document describes the qualitative and quantitative standards that make up this policy, how standards are measured, and how financial aid is reinstated if eligibility is lost during enrollment.

Note: The Satisfactory Academic Progress (SAP) standard does not affect the PHEAA State Grant Program. Pennsylvania has established its own SAP standards. The award notices sent from PHEAA describe the SAP requirements.
PROCESS OVERVIEW
The Office of Financial Services is required, in accordance with Federal Title IV regulations, to monitor satisfactory academic progress for students who receive federal financial assistance. In order to continue to receive financial aid while enrolled at University of Valley Forge, undergraduate and graduate students must maintain the minimum standards as defined below.
Students must make both quantitative and qualitative progress towards their educational goals each semester (fall, spring, and summer) to receive federal financial aid. Furthermore, Satisfactory Academic Progress is measured during all semesters of a student’s enrollment, including periods in which the student is not receiving financial aid. The total (cumulative) academic record at UVF is considered when academic progress is evaluated.
SATISFACTORY ACADEMIC PROGRESS STANDARDS
Grade Point Average (GPA) – students must maintain a minimum cumulative GPA as defined in the section “Minimum Standard Requirements” at each evaluation to be making Satisfactory Academic Progress.
Maximum Timeframe (MT) – students must complete their program within a maximum timeframe based on credits attempted for their primary academic program. The maximum timeframe for degree completion at University of Valley Forge is 150% of the student’s program(s) required credits. Many bachelor’s degree programs at UVF have a published program length of 120 credits, although some programs may vary in length. As an example, the Maximum Timeframe Requirement for a 120-credit program is 180 credits (120 × 1.5 = 180).
Once a student reaches the maximum amount of credits attempted as specified by the program(s) for graduation, the student will be ineligible to receive further Federal Title IV aid. Students in this category may submit appeals in accordance with the Appeals section of this policy.
Pace: Credit Completion Rate – The ratio, expressed as a percentage, of successfully completed (earned) credits divided by attempted credits. The minimum completion rate to continue receiving Federal Title IV aid at University of Valley Forge is 67%. Percentages are not rounded.
Pace of Completion Rate = (Cumulative Credits earned ÷ Cumulative Credits attempted)
MINIMUM STANDARD REQUIREMENTS
PACE The student must complete 67% of cumulative credits attempted (including repeated credits and transfer credits). The student may attempt, including transfer credits, a maximum of 150% of published length of the academic program before financial aid will be terminated. Students who change majors or are pursuing a double major will be evaluated on a case-by-case basis for an extension of maximum credits. | ||

TRANSFER CREDIT
Transfer credits earned at another institution and accepted by University of Valley Forge count as both attempted and earned credits. The student’s GPA is not affected by credits that have been transferred to UVF from another institution.
REMEDIAL COURSES
Remedial courses are treated the same as non-remedial courses in the evaluation of GPA, Maximum Timeframe, and Credit Completion Rate. These courses count toward the student’s cumulative academic record.
INCOMPLETE GRADES
Incomplete course grades do not earn credit, but influence grade point average as an “F” in the semester they are listed as Incomplete. Work for incomplete courses must be completed within six weeks following the end of the term in which the class was taken or the final grade will be updated to an “F”. Only the Academic Affairs Committee is authorized to make a grade change later than 6 weeks after the class was taken. Because Incomplete grades influence GPA, they are factored into the assessment of a student’s Satisfactory Academic Progress at the time of review.
COURSE WITHDRAWALS
Withdrawn courses neither earn credit nor influence grade point average; however, they do affect Credit Completion Rate. Students may retake courses from which they have withdrawn – the repeating of a course from which they have withdrawn will count toward the determination of enrollment status and are eligible for financial aid.
RETURNING/SUSPENDED STUDENTS
All students returning to UVF will enter under the same SAP status they had the semester they left.
REPEATED COURSES
Repeated courses in which the student received a grade of “F” and is repeating will count toward determination of enrollment status and will be eligible for financial aid. Classes in which the student received a passing grade of “D–“ or higher will count toward determination of enrollment and will be eligible for financial aid only one time. Repeated courses will be counted each time in the Credit Completion Rate calculation. If a student repeats a course, only the highest of the grades received for the course will be used in the calculation of Grade Point Average.
AUDIT COURSES
Audit courses do not earn credit nor influence grade point average. They are not eligible for financial aid.
PASS/FAIL COURSES
Pass/Fail courses are not calculated in the cumulative grade point average, but will be included in credits earned and will count toward determination of enrollment status.
GRADE CHANGES
When a grade is changed, a student’s SAP status is reevaluated.
MEASURING ACADEMIC PROGRESS
Academic records are reviewed by the Financial Services Office in conjunction with the Registrar’s Office at the end of each academic term (Fall, Spring, Summer) after grades for the given term are entered. The total (cumulative) academic record at UVF is considered when academic progress is evaluated (not just terms when financial aid was received).
Students who meet all financial aid SAP Standards are considered to be in Good Standing. Students in Good Standing, that meet all other applicable eligibility requirements, are eligible to receive financial aid.
Students who begin a semester with a SAP status of Good Standing, but fail to meet the minimum SAP standards for GPA and/or Pace at the end of that semester are placed on Financial Aid Warning for the following semester. In the Warning semester students are eligible to receive financial aid.
Students on Financial Aid Warning who fail to meet SAP for GPA and/or Pace will receive notification that they have been Financial Aid Terminated and are no longer eligible to receive assistance under the Title IV, HEA programs.
Students that are placed on Financial Aid Warning or Financial Aid Termination status will receive communication via email from academicaffairs@valleyforge.edu to their University of Valley Forge email address.
APPEALS
Students that have been Financial Aid Terminated may appeal to the Satisfactory Academic Progress Committee for reinstatement of their aid. Appeals should be submitted to studentsuccess@valleyforge.edu. Appeals should be submitted within 30 days of notification of status.
A student may file an appeal on the basis of the death of a relative, medical, family, or emotional difficulty, learning disability, or other special circumstances. In the appeal, the student must explain why he or she failed to make Satisfactory Academic Progress and what has changed in the student’s situation that will allow the student to demonstrate satisfactory academic progress at the next evaluation. The student is also required to provide third-party documentation relating to the reason the student failed to make Satisfactory Academic Progress and/or documentation that speaks to a change in circumstances that will allow the student to make Satisfactory Academic Progress moving forward.
The Student Success Office will notify the student through the student’s University of Valley Forge email account of the results of the Satisfactory Academic Progress appeal. If an appeal is denied, the student is ineligible for financial aid subject to this policy. If an appeal is approved for a student who failed to meet the minimum standards of SAP, the student is assigned the status of Financial Aid Probation and are eligible for financial aid. Students on Financial Aid Probation may be required, in conjunction with the Student Success Office, to develop an academic plan that requires the student to fulfill specific terms and conditions such as taking a reduced course load or enrolling in specific courses. The academic plan will also set forth specific standards for Pace and GPA necessary for the student to return to Financial Aid Good Standing. Academic plans must be provided to and signed by the student prior to the course registration add/drop deadline of the semester.
Students on Financial Aid Probation must either meet the minimum SAP standards at the conclusion of the probationary semester to remain eligible for financial aid, or meet the conditions of the academic plan developed by the institution and the student to remain eligible for further financial aid. The academic plan will be developed by the Student Success Office and will be emailed to the student’s University of Valley Forge email address. Financial Aid Probation may be granted for only one payment period at a time following a successful appeal. In an instance where a student requires a multi-semester academic plan to return to Good Standing, the student is eligible to remain on Financial Aid Probation for the length of the academic plan as long as the student meets the requirements of the academic plan. Students that fail to meet minimum SAP standards at the conclusion of the probationary semester or fail to meet the conditions of the academic plan will be placed on Financial Aid Termination and are no longer eligible to receive assistance under Title IV, HEA programs.
Students are responsible for understanding and following the conditions set forth in the academic plan and are encouraged to seek assistance from the Student Success Office.
STUDENTS RETURNING AFTER A YEAR OR MORE
If a student previously left the university after failing to make satisfactory academic progress and returns to the university, the student is required to appeal his/her status. If an appeal is approved for a student who failed to meet the minimum standards of SAP, the student is assigned the status of Financial Aid Probation and are eligible for financial aid.
Students on financial aid probation must either meet the minimum SAP standards at the conclusion of the probationary semester to remain eligible for financial aid, or meet the conditions of the academic plan developed by the institution and the student to remain eligible for further financial aid. The academic plan will be developed and agreed to by the Student Success Office and the student and will be emailed to the student’s University of Valley Forge email address.
Students are responsible for understanding and following the conditions set forth in the academic plan and are encouraged to seek assistance from the Student Success Office.
ACADEMIC AMNESTY
UVF does not practice academic amnesty.
AMENDMENTS TO POLICY
This policy will be amended whenever applicable federal or state law or regulations are changed. Financial Services is authorized to incorporate and implement changes required in this policy by federal regulations.
DEFINITIONS
Appeal – A process by which a student who is not meeting one or more financial aid Satisfactory Academic Progress standards requests that the Satisfactory Academic Progress Committee reconsider his or her eligibility to receive financial aid subject to this policy.
Financial Aid Probation – A probationary status assigned to a student who failed to make financial aid Satisfactory Academic Progress standards, has successfully appealed, and has had his or her eligibility for student aid, as identified in this policy, reinstated.
Financial Aid Warning – A status assigned to a student who fails to make financial aid Satisfactory Academic Progress standards at the end of a semester in which the student was in financial aid Good Standing.
Financial Aid Termination – A status assigned to a student who has not met financial aid Satisfactory Academic Progress standards.
Financial Aid Good Standing – A status assigned to a student who is meeting financial aid Satisfactory Academic Progress standards.
Academic Plan – The academic plan is a written document developed by the student and the University of Valley Forge Student Success Office that ensures the student is able to meet the University’s Satisfactory Academic Progress Standards by a specific point in time. It could include qualitative and quantitative requirements necessary to achieve the plan.
